trying to organize a massive family camping trip is basically an exercise in managing manual handoffs. nothing kills the momentum faster than waiting on headcount confirmations that depend on everyone checking their calendars. i recently started using zapier to bridge some of these gaps, and its been a lifesaver for tracking responses. pros include automated reminders and less reliance on people like terry actually reading messages. the cons are the initial setup time and potential for notification fatigue .

i had a similar issue with a wedding planner and switched to using a simple google form linked to a spreadsheet. it cuts out the back-and-forth, but you still have to deal with the people who ignore all notifications .
